Finance Module > Student Search under Finance Module > Make Payment

How to manage Collections Method 1

Student Search on top of screen > Key in Student Name/IC No, Student ID No > Click on Second Navigation Bar Finance (Collections) (the Student’s Finance Module) > Collection Screen select > Key in the total> Click pay full OR key in Amount Pay> Select or key in date issued (collection date)> Select Payment Method > Remarks > Generate

Method 2 (Open Payment: For Non-Fee Group Items such as Uniform Fee)


Finance Module > Click Student Search under Finance Module > Click Make Payment > Click Open Payment > Select Program in Program Selection> Select Account Code > Key in description > Key in amount > If applicable, add more item > Key in Total Payment > Select Yes or No for generate bill > Select Payment Method from drop down > Key in remarks > Click Pay.

How to collect payment from student? Method 2


Student Search on top of > Key in Student Name/IC No, Student ID No > Click on Second Navigation Bar Finance (Ledger) (the Student’s Finance Module) > Click Collection > At Collection Screen, for Knock-Off By select Selection or FIFO  > Knock-Off Key in the total > Click pay full OR key in Amount Pay > Key in date issued (collection date) > Select Payment Method > Remarks > Generate

Finance Module > Click Student Search

> Key in student name > Click Manual Bill > Select Date of Issue > Select Account Code from drop down > Key in description > Key in amount > If applicable, add more items > Click Submit

How to issue an invoice to student/ How to bill student? Method 1

Go to Student Search on top of screen > Key in Student Name/IC No, Student ID No > Click on Second Navigation Bar Finance (Ledger) > Bill > Scan through Bill To and Programme column > Key in date of the Invoice/Bill > Key in the due date of the Invoice/Bill > Select Amount Are > Select  Account Code > Description > Key in the quantity (relevant if for uniform fees etc) > Key in unit price > Key in discount (%) if possible > Click Generate

:-Method 2 (For Hostel Bill only). B2 has billing method exclusive to Hostel

Click Finance Module > Click Student Search > Key in student name > Click Hostel Bill > Click On Campus > Select Room Type from dropdown > Key in Deposit for breakage > Key in Deposit for Rental > Key in Room Rate > Click Generate

How to Issue Invoice to Student/How to Bill Student? (For hostel bill only) Method 2

Finance > Click Bills > At Bill To: key in student name > Key in date of invoice/bill > Key in due date of invoice/bill > Select Amount Are > Account Code (example tuition fee, uniform fee) > Description > Key in the quantity (relevant if for uniform fees etc) > Key in unit price > Key in discount (%) if possible >  Generate

Click Finance Module > Click Group Billing > Click Group Manual Billing > Filter Faculty > Filter Program > Filter Intake > Filter semester no > Filter sponsor > Select Student Type > Show student list yes or no > Click Filter

How to Bill Multiple Students (How to do bulk billing)?

Finance (on left of screen) > Group Billing > Manual Billing > Filter for specific Faculty > Filter for specific Programme > Select student type local or international > Click search > Highlight the students and click submit >  Key in date of invoice > Key in due date of invoice > Select Amount Are > Account Code (example tuition fee, uniform fee) > Description > Key in the quantity (relevant if for uniform fees etc) > Key in unit price > Key in discount (%) if possible. > Generate

Click on Finance Module on right hand side of screen > Click Group Receipt > Click Upload File > Choose File > Select Date > Select Account Code (Tuition Fee) > Select Payment Method > Select Bank Name > Key in description > Click Submit

How to knock off PTPTN Mandate file, excel file for in bulk payments of tuition fees?

Finance Module on left hand side of the screen > Group Receipt > Click to Browse > Process file > Select Date > Select Account Code you want to knock off (for example tuition fee) > Select payment method > Select bank > Description > Remarks > Submit

Click Finance Module > Click Settings > Click Transaction Approver

Key in Name > Select Status Active > Click Filter > Look at Action column > Click Approve or Reject

How to approve transactions if transaction approval settings (approver is turned on)?

Finance at First Navigation Bar (on left of screen) > Approvals > Approve or Reject, make sure for the correct Student Name by scanning through Student Name and ID No and Amount.


Click Finance Module > Click Invoice Reminder > Filter for Faculty > Filter for Program > Filter status (for example Active) > Click outstanding and select: = or > or < and key in the amount > Click Filter
