Auto-reply templates are similar to admissions letter templates. Unlike letter templates where user have to generate the letter manually, auto replies are automatically sent by the system.

There can only be one active auto reply template of the same type at any given time. It is advisable for user to update existing templates if they want to make amendments.

Below is the list of events that trigger the auto reply and the templates used for the auto reply:

Staff processed application and set it to eligible and applicant status is Accepted Auto-reply Successful Application Applicant receives email when staff offer enrolment
Staff processed application and set it to ineligible and applicant status is Rejected Auto-reply Unsuccessful Application Applicant receives email when their staff refuse enrolment

Another auto-reply issued by the system is for Email Verification link that is sent to applicants once they register an Online Application account. Turn on the setting to enable email verification feature.

Add Auto Reply Templates


  1. Find Settings on Navigation Bar located on the left side of the screen > Navigate to Admissions
  2. Under Admissions, click Auto Reply Templates > click Add New
  3. In the Name field, enter the name
  4. In the Type field, select the type of template
  5. In Subject field, enter title of email
  6. In the Message Body field, enter the content of the template and select placeholders
  7. Set Status slider to Active
  8. Click Save

Update Auto Reply Templates


  1. Find Settings on Navigation Bar located on the left side of the screen > Navigate to Admissions
  2. Under Admissions, click Auto Reply Templates > click Add New
  3. In the Name field, the name
  4. In the Type field, select the type of template
  5. In Subject field, enter title of email
  6. In the Message Body field, enter the content of the template and select placeholders
  7. Set Status slider to Active
  8. Click Save
